Adding closed membership chat and forum to existing site

We have recently launched a website ([login to view URL]) that gives information on a network of youth clubs. Each club will eventually have its own page, with its own 'members only' page. These members pages must be username & password protected. (Each club member has his/her own username). Usernames should NOT be able to be generated through the site except through an administrator. The username for a member should allow him/her access to their own club page only. All other club pages should be restricted. In addition, each 'members' page will allow the member access to a forum (accessable by all members of all clubs) and a chat/im area (with a private room for their club only, in addition to a 'all clubs' section). Our current host doesn't have chat facilities, so I'll be looking for a hosted solution, that will allow the forum and chat to be viewable on our site. We do NOT want any re-directing of host to be visible to the user. We don't mind paying for a host, although the budget is tight. We will accept banner-advertising supported 'free' services, however we will be trusting the judgement of the safety of such a system to the winning bidder/service provider. Providing this type of facility is beyond us (we just about managed to get the site up), so I'm looking for someone to provide/introduce us the hosting solution, and create the pages on our website that interface. Along with initial setup, we will be looking to award ongoing maintainence of the facility to the winning bidder. Initial setup will be for one 'club' section, with more being added over time as the clubs come online. There is no percieved end to the addition of new clubs, so this will be an ongoing contract. Please see attached file for basic outline of what we envision. If, however, you have an alternative layout that would work better, then please suggest. We're not the experts here.
