I am setting up a magazine business, I am looking for an online website/project management to maintain and handle my workflow.
Due to my magazine have multiple magazine its hard to keep track off all my clients work flow
What I want the software to do?
Functionality
Staff - I need to be able to add staff in to different work groups.
My business starts with telesales who call and make appointments with potential clients.
Sales Reps attend the appointments for they designated areas, or the telesales assigns a rep.
When the sales rep is with the customer and they decided to sign up, my sales rep will need to produce an order on to the system including all the clients details, ARTwork Brief and ability to scan and upload any files, logo etc to the customers file. Automatically creating a task for the assigned Magazine. & Issue.
Graphic Designer, will receive notifications of new tasks and start creating the design work (the design work will be produced using Adobe Applications, InDesign, illustrator & photoshop)
The Graphic Designer need to be able to update the clients task to in progress, when the graphic designer has produced the artwork they will upload a PDF for approval by the client.
Client Approval - Once the graphic designer has uploaded the artwork to be approved an email notification needs to be sent to the client via email, giving them log in details and link to access the approval area, This give the client area to view the PDF files and ability to leave comments about full design, and also ability to highlight sections of the design and add comments about changes.
All the details of approval from the client needs to be updated on to the system and added to the graphic designers tasks, and the task updating to awaiting changes.
Once these changes have been made the graphic design upload the updated artwork and is then added back to the clients approval. Until the client chooses the artwork as completed which will then update the artwork on the system as 100% completed, sending update to the graphic designer, and added the PDF files to the completed magazine folder for that magazine and issue.

I am currently using owncloud, this is the software I would like to use to handle the files... My software needs the ability to upload files to the user details within the owncloud software.. as to keep all my files organised online and on all the other computers.. within my workplace.

Also i need the ability to include Email Client within my software so my staff can send and receive emails within the software, Calendar, Notifications.
Accounts Area, each sales rep and telesales staff get paid on commission so i need and area which I can include a commission rate for each member off staff, each member off staff will have the ability to review how much commission they have made once their client has chosen to complete their artwork as 100% completed..
I need an online invoicing system which keeps me upto date off all my clients as they will be paying an inital deposit, and final payments on other dates.. When the sales rep is creating the new order, (which needs to be done on a mobile phone so html 5 will be the best way to have this produced so it can be done from mobile phones.) A customer Account number needs to be automatically generated, and invoice number needs to be created so that these details can be included on the Sales Contract and Agreement which the client keeps a copy off, my sales rep will fill this information which will be given to them by the software.
The software needs to run on php/mysql so I can install on to apache server
