We are seeking an Administrative Assistant to manage the office and handle duties for upper management. We are looking for an individual who is efficient and comfortable being a member of a small team. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.

Duties include, but not limited to:

- Answering and directing phone calls

- Organizing and scheduling appointments

- Planning meeting and taking detailed minutes

- Write and distribute email, correspondence memos, letters, faxes and forms

- Assist in the preparation of samples and sending them out through FedEx/USPS

- Order office supplies and research new deals and suppliers

- Maintain contact lists

- Book travel arrangements

- Provide general support to visitors

Qualifications and Skills

- Proficiency in MS Office with expertise in Microsoft Word, Outlook, PowerPoint and Excel

- Proficiency in Quickbooks is highly preferred but not required.

- Experience in shipping with FedEx, USPS, UPS, etc. preferred but not required

- Ability to analyze and revise operating practices to improve efficiency

- Detail oriented and comfortable working in a fast-paced office environment

- Exceptional communication skills

- Superior organization skills and dedication to completing projects in a timely manner
