We have gone through the project brief and the attached flow diagram. Before everything else,
I would like to know where do the enquiry emails come from? Is it from a enquiry form on your website?
If yes, then we could make it much simpler. As in, the enquiry form gets submitted. The form logic
creates and sends the emails to the agent and the designated email address and writes to the CRM.
Flow becomes much simpler, involves less entities to deal with and is much more controllable and reliable.
However if the answer is "no" then we must go as you have outlined. Please let me know.
