We are using Gravity Forms (Wordpress) to allow people to register for our sports league. After they register, it sends the data to our CRM, called FreeAgent. The CRM stores things like the players name, league, parent names, etc. We also have an automated form where users can make revisions to their original registration info. They use this form if they need to change a shirt size, location or other piece of info. This form is also connected to our CRM and will update the related data after submission. This works, except when the user revises the name or birth date of a player. For example: > The original registration has player named 'John Broww' > In our CRM there is now a player named 'John Broww' with their registration info > Parent made a mistake, the name should have been 'John Brown' > Parent uses the revision form and changes the name to 'John Brown' > Now in our CRM there are two players 'John Broww' and 'John Brown' both with the same registration data > But, there should only be one player named 'John Brown' This happens because on the original registration we don't save the unique id of the player in the CRM. If a player registers multiple times, we try to look up the entry in our CRM based on their name and date of birth. If it finds a matching entry, it uses that, otherwise it creates a new entry. We need someone to help us fix this problem. Here is our proposed solution: - Original registration form for reference: [login to view URL] - Revision form example: [login to view URL] - Screenshot attached of CRM 1. On the original registration form add three hidden fields (you can register 3 players on the form): - Player 1 - FreeAgent Id - Player 2 - FreeAgent Id - Player 3 - FreeAgent Id 2. After the registration form is submitted, save the unique FreeAgent Id to these fields for each player. We already do this for the parent info. This part is done through an API written in PHP. The code we have already returns the FreeAgent Id, we just need to save it to the form entry. 3. On the revision form, instead of updating players based on name/date of birth, update them based on the unique FreeAgent Id. I can provide FTP and Wordpress access to our website and instructions on where to find the relevant code. Can also provide login to our CRM. This is a live site, so please be extra cautious as you make changes, we do not want to affect any users that may be trying to register. Thanks and let me know if you have questions.
