Freight Shipment Tracking - 04/03/2018

We are a freight and logistics organisation based in Malawi, Africa. We arrange logistics and shipment of cargo to and from rest of the World and Malawi. Malawi is a landlocked country with no direct access to sea coast. The cargo is usually packed into shipping containers and various means of transportation is used including/combination, air, sea, road and rail. Various services are provided by numerous service providers. All the shipments have to be tracked through various phases of the journey and record kept of any changes in shipment status. All changes amendments to be recorded and note to be kept of reason for changes, Possibility of attaching correspondence on particular shipment. Record of any reason for delay of shipment at Port of Load, Port of Transhipment, delay sin oncarrier vessel from Port of Transhipment to Port of Discharge etc to be entered and reason for same to be attached. Documents have to be sent to the relevant agents at origin port, transhipment port, destination port for clearance. A record to be kept on date each document was sent depending on the type of shipment. I have attached a sample report y Port of Discharge attached. We have a separate excell sheet for each port of Discharge/Import and Port of Load/Export. The reports are then used to sort data out by customer and we then copy/paste onto new worksheet to report to individual customers. However at present we are unable to track changes, attach files/correspondence, keep record of changes on shipment caused by delays due to many different reasons. Report on Shipments/Containers by - Destinations - Shipper - Consignee - Containers Arrived Destination - Under Clearance - Awaiting Delivery - Awaiting Empty Turn IN - KPI's (Shipments approaching KPI's and/or missed KPI's alerts for same) - Track Changes made in Cells - Possiblility to embed/attach a link/file/email for supporting documents - Prepare Shipment/Container Release Form - Prepare Shipment Details Cover Form Attached: *Beira Status, *Nacala, *Anchor (Client Report), *Camy Soap (Client Report) We current use above Excell sheets to populate data. and then cut and past to prepare individual customer reports. Shipment Status - provides summary and templates of reports we would want from this freelancer project.
